Itineris Creates a New Site for Peace Hospice Care

Our premium WordPress website project for Peace Hospice Care is now live. The Hospice was looking for a new look and feel for its site to help provide supporters with a better user experience into the ‘window’ of hospice life.

Website scoping

We started working with the Hospice on a website scoping project where we helped define what the organisation wanted from a new website to form the core website brief. This covered the creation of:

  • Clear objectives
  • A competitor analysis
  • Audience evaluation
  • Technical review
  • Draft site architecture and content organisation to support different target audiences
  • Standards that need to be complied with
  • Security requirements
  • Systems that need to be integrated with the website i.e. to support event registrations/taking payments
  • Identification of appropriate content management system
  • Takes into account best practice regarding the website

Website Scoping Project

  1. Introduction

Our current website was created some time ago and we now feel the time has come for a fresh website which is better suited to the needs of our audiences and stakeholders.  This paper sets out some background information about our organisation and our requirements regarding support we are seeking to scope out a new website.  This is a distinct and stand alone piece of work which will inform the design and build of a new website.  We are asking for expressions of interest regarding this scoping work.  We will also go out to tender, separately, for the design and build of a new website. 

  • Background on Peace Hospice Care

Peace Hospice Care provides free specialist care across Hertfordshire for patients and their families facing a life-limiting illness.  We provide support at end of life but the majority of our work focuses on supporting those with life-limiting illnesses who have many more years to live.  Our patients have a range of illnesses including: cancer, neurological conditions, heart failure, organ failure and chronic lung disease.

  • How we want to be perceived

We want to be perceived as a local charity supporting the local community, providing outstanding care, providing care that looks after a person’s needs (including physical, emotional, spiritual) long before end of life to improve their quality of life.  Whilst death and dying are seen as serious we want to convey the energy that drives us as an organisation – fun fundraising events, huge support from the more than 500 volunteers who enable us to do what we do, staff who are passionate about our work caring for, and supporting, people with life-limiting illnesses as well as their families and carers. 

  • Our website

In essence, our website needs to do three things, to:

  1. Provide information – for those with life-limiting illnesses as well as their families and carers; healthcare professionals who need to know about our services to refer patients; the local community, to keep them informed about what we do and why it matters, to garner their support and highlight how they can support us; for those seeking information about our shops
  2. Support our fundraising efforts: make donating easy; enable easy access to signing up to fundraising events and activities
  3. Support us in recruiting to employment and volunteering opportunities available i.e. provide a way for people to access the relevant information and then apply easily online

  • This scoping project

We are seeking expressions of interest for a website scoping project.  We would like to work with an organisation that can help us define what we want from a new website.  This scoping work will enable us to draft a brief for a new website that will include:

  • Clear objectives – what we want from our website, what we want it to achieve (reflecting across departments)
  • A competitor analysis – what is working well for competitors and what we like
  • Audience evaluation – clear profiles for the different audiences who use our website so that we can ensure our website meets their specific needs i.e. mapping out their journey (to inform content and structure)
  • Technical review – to identify the best platform to suit our needs
  • Design that is flexible, clear and supports our content
  • Draft site architecture and content organisation to support our different target audiences
  • Standards that need to be complied with
  • Security requirements
  • Systems that need to be integrated with the website i.e. to support event registrations/taking payments
  • Identification of appropriate content management system
  • Takes into account best practice regarding website

6. Declaring your Express of Interest

To declare your expression of interest, please complete the questionnaire overleaf and return it to Debbie Leven by email ([email protected] ) by 30th June 2017.  We will then invite shortlisted candidates to the Hospice to meet with members of our senior team and to give a short presentation (20 minutes) and take questions (20 questions).  For the presentation, shortlisted candidates will be asked to outline the following:

Ideas for how you think our website can be improved specific challenges you think we face in our market place that the website needs to address/be mindful of

8. The Timetable

We are inviting expressions of interest for this scoping work and asking for the questionnaire overleaf to be submitted by email by Friday 30th June 2017.  We will then invite shortlisted candidates to our Hospice building in Watford to make a short presentation during the following two weeks.

Community events form An online Events form (for externally organised events) so that people can tell us there and then about their event plans and just press submit – at the moment they fill in a pdf form and email to us

Online shop For buying goods direct but also for buying from suppliers who would donate to us i.e. florists – so some sort of referral system   Ideally integrate with NXT ON the Retail side it would integrate through SagePay
Light up a life – online dedication module Functionality for people to post dedications/messages/photos and for others to be able to view them – for Lights of Love and other in-memory appeals Integrated with NXT We are after an animated Lights of Love Tree and giving people the option to upload message, photo.  This would be integrated with NXT i.e. embed the html for the form.  But, we need the facility for including animation in design

Just Giving integration – so when signing up for an event have it integrate and create a JG page as page of the event sign up process. We have Blackbaud and they have just bought Just Giving so we will need to see what that will give us.  At the moment we would not go for JustGiving because of the fees.  But, we would want to integrate with some facility where people can set up their own donations page – Raisers Edge NXT uses Everyday Heroes and this is a possibility.   But, if via Blackbaud purchasing Just Giving we can get a better deal on using Just Giving then that may be an option.  BT’s My Donate is preferred option – it gives us all the donations. We are currently looking at other options.     
Keyword audit – useful for writing new content  
PPC Audit and set up – to make the most of Google Grant, if you currently have it (new rules means that those who aren’t using it successfully will have it taken away)  
Quarterly reviews £680 per meeting  
Additional landing page design for campaign activity.  
ECard   ECard functionality for corporates and individuals (e.g. xmas ecards for corps at perhaps £250 donation per card to be sent to as many people as required) and individual ecards for birthdays, celebrations and religious festivals – would like to incorporate an alternative gift functionality for individual ecards i.e. add on a £10 gift in cele for IPU, H@H or Starlight   We would need the facility for businesses/individuals to select an image, type in wording, see their design with a watermark over the top and then receive it as a pdf/jpeg after payment.  The order form would be integrated with NXT

Our proposal

The Hospice wanted to better showcase its events, vacancies, shops and news. We helped create an online shop using WooCommerce and a super slick site created on the WordPress CMS.

We implemented

For event payment, single donation.

All our online single donations and event registrations go through BBMS/Blackbaud Merchant Services.
